ABOUT THE ROLE
Are you a highly organized professional who thrives in a fast-paced environment and enjoys bringing structure to complex operations? Were seeking a Marketing Operations Coordinator to play a key role in ensuring the department runs efficiently and effectively. Working closely with our Chief Marketing and Business Development Officer (CMBDO), youll provide essential operational and administrative support that drives consistency, strengthens communication, and supports key departmental initiatives. This visible, hands-on role is ideal for someone who takes pride in being a dependable resource for both day-to-day operations and special projectshelping ensure our team delivers exceptional service and results every step of the way.
- Manage scheduling for the CMBDO, including internal and external meetings, and coordinate related logistics.
- Prepare, submit, and track expense reimbursements for the CMBDO.
- Assist with meeting preparation, including agenda drafting, distributing materials, and recording action items.
- Maintain department contact lists, distribution lists, and other shared resources.
- Coordinate department meetings, trainings, and events, including logistics, materials, and communications.
- Take a lead role in supporting the annual budget process. Provide ongoing support on financial and budget status reporting.
- Create and maintain department process documents. Maintain Marketing documents on firm intranet.
- Help draft and distribute internal department communications and newsletters.
- Coordinate with colleagues across offices and practices to gather and organize information.
- Serve as a resource for general inquiries and requests from the department.
- Assist with onboarding logistics for new Marketing Department team members.
- Contribute to team-building activities by handling logistics and communications.
ABOUT YOU
- Bachelors degree preferred; equivalent work experience considered.
- 13 years of relevant administrative, marketing, or business development experience; law firm or professional services experience a plus.
- Strong organizational skills with careful attention to detail.
- Ability to manage multiple tasks, prioritize, and meet deadlines.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office suite; experience with Salesforce or similar CRM tools a plus.
- Professional demeanor with strong interpersonal skills and ability to work well with colleagues at all levels.
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Flexible, adaptable, and willing to take initiative.

Additional compensation may include a discretionary bonus, overtime as applicable, health/welfare benefits, retirement contributions, paid holidays, and PTO. The range displayed is specifically for positions performed in those cities/states and may vary based on factors including but not limited to the following: local market data and ranges; an applicant's skills and prior relevant experience; and certain degrees, licensing, and certifications.
San Francisco salary range: $63k to $89k
